Provide administrative and accounts payable support. Complete payments and control expenses by reviewing invoices for accuracy, obtaining payment authorization, issuing payment and reconciling invoices. Complete payment cycle activities accurately, timely, and in an efficient manner.

JOB RESPONSIBILITIES

  • Perform accounts payable functions, including but not limited to, invoice processing for payment approval, procurement card reconciliation, and as needed SDC check creation. Verify invoice statement and review for accuracy and documentation; initiate contact with vendor to correct errors. Matching invoices with purchase orders & enter invoices in accounting system for payment

  • Obtain payment authorization. Prioritize invoices according to cash discount potential and payment terms and schedule check payments to avoid late fees. Track and follow up on credits ensuring reimbursement or credit is received. Process check requests, enter manual check, process credit card bills, and weekly check runs.

  • Maintain vendor files & respond to all vendors inquires. Communicate with vendors, and business partners via phone, e-mail or mail

  • Maintain organized electronic and paper historical accounts payable records.

  • Reconcile accounts and produce monthly reports. Reconcile vendor statements, research and correct discrepancies

  • Recommend process improvements. Document procedures.

  • Provide payables support for month-end and year-end closing. Perform 1099 tax maintenance

  • Assist with other projects as needed

  • Maintain knowledge of SOX controls

  • Perform additional support duties or special projects as requested by management.

Education:

High school diploma required. Associates degree in accounting/finance a plus.

Experience:

  • At least two (2) years Accounts Payable experience is required.

  • Experience using office equipment including computers, calculators, copiers, printers, and fax machines at a level consistent with experience.

Knowledge, Skills & Abilities:

  • Basic mathematic skills

  • MS Office Suite experience with strong emphasis in Excel is highly desirable

  • Detail oriented and Strong organizational skills and ability to work independently.

  • Must be able to manage priorities and work in an efficiency and organized manner. Ability to multi task and set priorities

  • Clear and concise verbal and written communication skills. Ability to apply common sense understanding to carry out written or oral instructions

  • High level of customer service, compassion, and integrity

  • Problem solving skills at a level consistent with experience

  • Ability to maintain confidentiality

Working Environment

Work seated at a workstation in a carpeted, air-conditioned office environment where the noise volume from equipment and coworkers is moderate; and with continual interruptions, changing priorities, and daily deadlines. There are a variety and number of high profile issues that must be successfully balanced and administered at any given time. There is a high volume of work where detailed accuracy is extremely important.

Physical Requirements

Work seated for prolonged periods of time; must be able to see detail, and have good hand-eye coordination to work with and manipulate accounting data on computer spreadsheets; potential eyestrain from constant viewing of computer monitors; ergonomic requirements must be considered for safety and health. Occasionally lifting boxes up to 25# required.
